Billing / Collection of Levies
Our preferred means of communication for the distribution of levy statements is via e-mail, by no later than the 25th of each month.
Management of Funds
We manage the Body Corporate / Home Owners Association’s funds in individual bank accounts and furthermore invest surplus money in interest bearing accounts in the respective scheme’s individual bank account.
In terms of the new CSOS legislation, a Maintenance Reserve Fund Bank Account will also be opened and managed in terms of the Act. All steps are implemented and taken for effective credit control management.
We ensure that all the statutory requirements are adhered to as stipulated by the relevant authorities.
Effective Credit Control
Our Debtors department consists of dedicated Credit Controllers who proactively manage arrears levy payments. All steps are implemented for effective credit control management.
Financial Bookkeeping, Reporting and Annual Audit
Monthly management accounts are prepared for each of the schemes under our management and sent to the respective board of trustees. Once approved by the trustees, these accounts are available to view and download on Clientzone.
The payroll service includes full monthly payroll processing, transferring of the salary to the employee’s bank account, as well as deduction, processing and payment of statutory monies including PAYE, UIF and SDL.
Property portfolio managers are encouraged to schedule regular trustees meetings with a minimum of one meeting every quarter. This ensures that trustees meet regularly to discuss and make decisions regarding management of the scheme.
We maintain minute books, registered sectional title plans, registered conduct and management rules, contracts and all other relevant documentations and files pertaining to the scheme, and are stored electronically for safe keeping.
We offer assistance to trustees when the need arises to amend rules by drafting such amendments, calling for the necessary meeting for approval thereof, and once approved, completing the necessary forms and registering with the proper authority.
We assist with the drafting and distribution of correspondence as approved by the trustees. We make use of a group mail programme which ensures a secure, reliable communication sending process and manages undelivered e-mail. This form of communication is a costing saving to the scheme as correspondence does not need to be sent via post.
CSOS Annual Returns
We attend to the submission of the statutory annual returns as required by CSOS.
Maintenance Service Agreement
Maintenance of the common areas within the scheme is subject to the trustees agreeing to a Service Agreement. Your portfolio manager and/or building manager will ensure that all maintenance items are identified and logged online directly to the Maintenance Service Department. The Maintenance Service Department will arrange for access to the scheme for the relevant contractor in order for the necessary quotes to be obtained for trustees approval. The management process for the repair is performed by the Service Department in consultation with the Portfolio Manager.
The Maintenance Service Department will produce a weekly Job Monitor Report. This reports provides a summary of all items logged and the status thereof. Upon completion of a job, the item is removed from this report but kept in the history of the scheme for future reference e.g. Warrantees , guarantees and future budgeting of repairs.
Due to our expertise as property developers and access to experts, we are able to offer advise on special projects such as painting of the building.
Attention to Maintenance
We will assist with the repairs and maintenance of the common property by identifying problems, and collecting and presenting competitive quotes from our approved list of contractors to the trustees for their approval. We will not commence any work without the trustees’ proper authorisation of the costs thereof.

Human Resources Support
We can provide an HR service to the schemes under our management . This includes management of leave, internal disciplinary procedures (warnings and hearings), as well as drafting employment contracts in accordance with the Basic Conditions of Employment Act.
Furthermore, we can offer specialist HR services, such as retrenchments, preparation for CCMA cases and recruitment.
Your property portfolio manager will provide the board of trustees with a comprehensive quote analysis to ensure that the best insurance policy and premium is available to the scheme.
We have an in-house insurance administrator that will facilitate all insurance claims from start to finish which includes logging the claim, arranging an assessor, contractors and keeping tenants and home owners informed of progress and the status of each claim.
We ensure that all Bodies Corporate have a valuation completed every three years as required by CSOS.
We have access to the Faircape Group’s in-house legal department to provide legal advice as and when required.
We also specialise in utilities management. Utilities management is becoming an increasingly important area in property management due to the rising cost of utilities (especially electricity), specialised knowledge required to manage utilities, as well as the increasing delays in dealing with council.
Our utilities management company, in conjunction with the Eskom rebate initiative, has developed a model whereby significant saving can be achieved.

This would entail setting up the infrastructure as well as the management and reporting of live and recording of non-live incidents and events. Weekly and monthly reports are produced and sent to the trustees for the information.
