Property portfolio managers are encouraged to schedule regular trustees meetings with a minimum of one meeting every quarter. This ensures that trustees meet regularly to discuss and make decisions regarding management of the scheme.
We maintain minute books, registered sectional title plans, registered conduct and management rules, contracts and all other relevant documentations and files pertaining to the scheme, and are stored electronically for safe keeping.
We offer assistance to trustees when the need arises to amend rules by drafting such amendments, calling for the necessary meeting for approval thereof, and once approved, completing the necessary forms and registering with the proper authority.
We assist with the drafting and distribution of correspondence as approved by the trustees. We make use of a group mail programme which ensures a secure, reliable communication sending process and manages undelivered e-mail. This form of communication is a costing saving to the scheme as correspondence does not need to be sent via post.
We attend to the submission of the statutory annual returns as required by CSOS.
